One Login. One resident record. One big difference.
For a specialist dementia nursing home like Willowbank, the stakes of getting care management right couldn't be higher. With a resident group that includes people living with dementia and challenging behaviour, staff need tools that work for them, not against them. When the existing system began to create barriers rather than remove them, it was time for a change. Access Point of Care delivered the flexibility and reliability Willowbank needed.
Point of Care
About Willowbank
Willowbank is a nursing home operating under the Sage Care Homes Group, providing care for both residential and nursing clients. What sets Willowbank apart, even within its own group, is its specialism in challenging behaviour and dementia care. This places unique demands on staff and, by extension, on the systems they use to document and evidence the care they provide every day.
Jack Gardner, Deputy Manager, has been at the centre of the home's adoption of Access Point of Care, not only using the system himself, but playing a key role in supporting colleagues across other Sage homes to get up-to-speed.
The Challenge: A system that created barriers
The frustrations with Willowbank's previous system were practical and immediate. Licensing restrictions meant that only certain devices had access to the full system, the rest of the computers and laptops across the home were limited to a reduced set of functions. In a care environment where staff move between areas and need to record information in real time, this created real obstacles to getting work done efficiently.
It became evident that a more capable solution was needed.
"Only certain machines had access to the full system due to licence issues," Jack explains. "The rest could only access limited functions, making it really difficult to effectively complete all required work."
What They Needed
Given the complexity of care at Willowbank, the team had clear requirements for any replacement system. It needed to cover the full breadth of care management, not just the basics. Key requirements included:
- Comprehensive care planning
- Incident and accident reporting
- Mental Capacity Act (MCA) documentation
- Robust diet and fluid recording
- Personal care and continence reporting
But beyond ticking boxes, the system also needed to work for frontline care staff, people who are busy, hands-on, and focused on the people they support, not on navigating complex software.
Choosing Access Point of Care
Sage Care Homes had already been working with Access when Point of Care became available, and Willowbank was well-placed to make the most of it. For Jack, the feature that has proven most valuable is one that speaks directly to the specialist nature of the home: the ability to create custom charts.
This kind of flexibility - the ability to shape the system around the specific needs of the service, rather than forcing care processes to fit a generic template - is exactly what specialist homes like Willowbank require.
"The most valuable feature, in my opinion, is the ability to create our own custom charts," Jack says. "A really important one for us is documenting service users making requests to leave, this comes up frequently in DoLS paperwork as a condition, so having a dedicated chart for it makes a real difference to our compliance and our evidence trail."
Positive Future
For Willowbank, Access Point of Care has delivered something straightforward but essential: a system that keeps pace with the demands of specialist dementia care, gives staff the tools to document what matters, and provides the evidence trail that regulators and families alike need to see. When the right system is in place, care teams can focus on what they do best and that is exactly the point
