Restaurant pre-order system

Boost online sales and save time by taking pre-orders from your customers ahead of their visit through our hospitality reservation management system.

More than 4,500 restaurants, bars and pubs are using Access Collins, our hospitality booking software, to manage bookings and accept pre-orders, deposits and pre-payments before their customers even set foot through the doors.

Why use our pre-order system for your restaurant?

Reducing kitchen wait times

Collecting more pre-orders allows you more visibility ahead of busy service times and helps to avoid bottlenecks in the kitchen that can increase wait times and cause customer dissatisfaction.

Reduce no shows

Taking pre-orders at the point of booking means that your guests will be more invested in their planned visit – and especially if they also pre-pay or pay a deposit – reducing the number of no-shows and cancellations.

Reducing food waste

Pre-orders mean you have a better understanding of what foods need to be prepared in advance, meaning less food wastage.

Manage busy times

The automated pre-ordering system can help reduce admin and enquiry management tasks during big calendar dates – freeing up your front-of-house teams to provide excellent in-person service instead.

Book more large parties

Your guests want an efficient and simple booking process – especially when it comes to choosing a venue for a large party booking. Introducing a seamless booking process for large parties will help you book more of them – helping generate more revenue.

Upsell more products

Having the ability to upsell items before your guests even arrive in your venue can help you increase the order value of bookings by enticing guests with extra items they might not have ordered.

Key features of our restaurant pre-order system

Access Collins makes taking restaurant pre-orders simple with reservation management features such as:

Automated workflow and guest communications

The automated workflow and guest communications make managing multiple large parties and events, such as at Christmas, simple for customers and more efficient for your teams by reducing manual tasks ordinarily needed.

Pre-payment and deposits

You can choose whether to collect payment at the point of booking to generate pre-sales or take deposits to help reduce the incidences of no-shows.

The Access Collins restaurant booking system offers flexibility so you can manage all payment options as well as manage guest communications about pre-orders, deposits and booking reminders.

Upselling options

Adding upsell options to the booking process can vastly increase revenue at busy times.

For example, offering to add a bottle of wine to the table on arrival will help increase the average ticket order value for each booking.

Allergen capturing

The Access Collins booking system helps restaurants with Natasha’s Law compliance by allowing guests to record their allergy and then removing the menu options that contain that allergen.

Ensure guests can clearly see which dishes are suitable for them and remove the danger of a guest pre-ordering a dish containing their allergen.

How pre-orders work

The pre-ordering system is built seamlessly into the reservation management platform so your guests can easily choose to pre-order as part of the booking process.

For large parties
  • The lead booker can forward a link to everyone to collect pre-orders ahead of the event
  • Live updates are sent to the lead booker so they can see who has submitted their pre-order
  • Flexible options for managing large booking enquiries, such as taking deposits, allowing the lead booker to generate an invoice for the booking and stipulating the minimum number of pre-orders needed in advance of the booking date (for example, if the booking was for 20 people – but only 15 pre-orders need to be taken ahead of the booking and 5 people could order on the day).
  • Staff have sight of pre-orders so can plan and prepare accordingly
For ordinary reservations
  • Collecting pre-orders can be added as an option at the point of booking
  • Guests can choose from the appropriate menu for the time of their booking (lunch or dinner menu for example) or guests could be offered pre-order upsell offers – such as adding a bucket of beers to the table booking for football matches or a bottle of wine for Valentine’s Day bookings.

Pre-order system FAQs

What is a pre-order system for restaurants?

In a restaurant, the pre-order system usually refers to software that enables customers to submit their food and drink orders before they visit the venue. This is often handled as part of a booking and enquiry management system that also facilitates the sending of customer communications such as booking reminders.

A restaurant pre-order system offers many benefits to a restaurant operation by providing an extra revenue stream through online sales, and an increase in average ticket order values through upselling promotions and extra items.

In addition, service in the venue is improved through a reduction in manual order taking and processing – saving time for front-of-house teams and resulting in a quicker turnover of tables so you can serve more customers in busy times as well as reduce wait times from the kitchen who know what to prepare in advance.

How does a pre-ordering system work?

A pre-ordering system for a restaurant usually works in two main ways. The first is that it allows the customer to choose the option of pre-ordering as part of the normal online booking process either selecting all dishes from the menu or sometimes adding a specific drinks package or similar.

The second is facilitating pre-ordering for large parties where there may be extra planning or order needed for the kitchen ahead of time. In this instance, the lead party organiser will usually forward the pre-ordering link to other members of the party.

Orders are then connected to the booking so that when your guests arrive the order can be processed at the right time.

Pre-orders may be paid for at the time of booking, secured with a deposit or paid in-venue after the meal has been served – depending on the restaurant and customer’s preference.

Why does my restaurant need a pre-order system?

A pre-order system offers many benefits to a restaurant operation such as providing an extra source of revenue through online pre-sales and increased ticket order values through the additional upsell opportunities.

When customers have pre-ordered their meals they are less likely to cancel the booking or not show up on the day, ensuring you have fewer empty tables on busy days.

Pre-orders ahead of busy times and events also allow for better planning for ordering – meaning your kitchen is less likely to run out of an item or overstock less popular items.

One of the biggest advantages though is in the managing of large parties and events. Providing a huge revenue driver, being able to offer efficient management of large-scale bookings will help you drive more large bookings in the future and the booking platform features make managing these bookings much easier.

Your customers will also benefit from the additional security of their booking and being able to ensure their chosen dishes will be available on the day, as well as benefiting from faster service on busy days.
