Keltbray are one of the UK’s leading construction and demolition contractors. Originally a demolition contractor, Keltbray have since diversified their services, delivering complex engineering projects across key building and infrastructure sectors. With a turnover of over £450 million in 2020, the company has now expanded into 26 different business units across the country.  

With such impressive growth and a rapidly expanding team, Keltbray needed to reassess their business processes and look to expose hidden efficiencies across the board. They also highlighted a pain-point in ensuring that all 26 business units were operating in a standardised way. 

Whilst looking for solutions they learned about Access COINS and its e-Commerce functionalities, capable of helping them unlock efficiencies and improve supplier relationships.  

Uncovering Efficiencies Through A Single Source Of Truth

Darren Aldridge, Group Supply Chain Manager at Keltbray, who has been responsible for delivering these strategic improvements to e-Commerce, described the key challenges and benefits. 

The Keltbray business now consists of 26 different business units across the Group. Because of this, they were aiming to create a 'One Keltbray' approach, in which all business units work seamlessly together, under the same roadmap. 

When looking into their processes, e-Commerce stood out as a key contender for overhauling processes and streamlining work.  

For Keltbray, e-Commerce is hugely important as it creates efficiencies, not just within the Keltbray Group, but across their whole supply chain. By reducing time spent on repetitive tasks, the business could begin to save a substantial amount of work hours which can then be spent on more business critical tasks.  

These efficiencies are then further increased by the force multiplier of having 26 business units. When fully implemented, the new approach could save the wider company a great amount of time and money.

Keltbray Reduces Administration Work By 66% 

Since implementing Access COINS e-Commerce software, Keltbray have successfully streamlined the procurement team’s data-entry processes, with an impressive time saving of 6 to 8 hours every week. 

Perhaps even more critically, Keltbray also reduced the amount of time spent by highly-experienced buyers on raising low-value orders. Since the implementation, call-off orders are now raised on-site, with no-touch (electronic) purchase orders feeding directly into the Access COINS ERP platform. 

They’ve also seen benefits for their suppliers, as the new software allowed for closer working relationships between themselves and their suppliers. This has since resulted in improved accuracy and efficiency when processing orders and invoices, and ultimately faster payments on invoices. 

We try and set up strategic relationships with suppliers, with e-Commerce supporting us in the setting up of service level agreements or trading agreements. So, it's easy to get them onboard.

Implementation And The Future Of Keltbray 

Darren Aldridge shared that a key challenge during the implementation was for the internal change management. Because of the new processes and approach to ‘One-Way’ of working, it was essential that everyone was given the time and training needed to embrace the change. 

Whether on-site or in the office, by ensuring that every team within each of the 26 business units was working in a standardised way, Keltbray have capitalised on the newly unlocked hidden efficiencies.  

e-Commerce is creating huge efficiencies for Keltbray and we now have more time to focus on high level strategic processes.

Since implementing Access COINS, Keltbray have achieved some great milestones. Within two years of implementation, Keltbray converted an impressive 40,000 paper invoices to electronic alternatives, equating to nearly 50% of the group’s total invoices.
