Across the core business and its subsidiaries, Arbuthnot Latham employee around 800 people and has offices in London, Manchester, and across southern England and The Midlands.

Arbuthnot Latham has the ambition to be the leading full-service human-scale relationship bank powered by modern technology. This mix involves not just continual improvement on the ‘in person’ experience, but also, a large-scale bank-wide investment in technology.

What were the challenges with the previous HR and payroll provider?

“We previously used another provider’s payroll bureau and core HR solution. The payroll aspect was good and at a competitive price, but the HR functionality wasn’t meeting our expectations. Even after we migrated the solution to the cloud, we couldn’t see the future of our HR and payroll with that provider,” says Andrew Dagger, Group HR Director at Arbuthnot Latham.

Arbuthnot Latham was already using our learning management system, Access Learning – previously Unicorn LMS before it was acquired by The Access Group – which was meeting the business’ requirements. Access Health and Safety was also being utilised to bring together risk assessments from a number of different locations, as DSE home and work assessments were paper-based and/or locally stored documents on a computer.

So, when the strategic decision to seek an alternative HR solution was made, Arbuthnot Latham had conversations with Access about Workspace and the integration of Access Learning with our HR and payroll software, Access PeopleXD.

“We instantly liked PeopleXD and saw the value in its HR capabilities. So much so, that we decided to move our payroll too. There was a premium cost associated with PeopleXD, but the payroll was really competitive. As it was all linked together and had far superior capabilities – with further opportunities to explore - it made commercial sense for us to move providers,” continues Andrew.

Arbuthnot Latham signed a three-year contract with Access in December 2021, and the project quickly commenced in readiness for a July go-live date.

The implementation

Prior to the implementation process, Access People collaborated closely with Arbuthnot Latham understand its challenges, expectations, and timelines thoroughly.

“Upon meeting our Project Manager, Cian Madden, we immediately experienced a proactive and client-centred approach. We were confident that this high level of support would greatly contribute to our successful launch of Access PeopleXD. The project proceeded well,” says Andrew.

To meet the predetermined launch deadline for Access PeopleXD, our project management team developed personalised comprehensive resources for Arbuthnot Latham to meticulously outline each task, including ownership details and completion dates.

Access PeopleXD was successfully launched in July 2022.

Achieving successful business outcomes with Access

“Since adopting Access PeopleXD, we’ve observed a notable improvement in our end-user experience. The HR solution has eliminated the necessity for manual intervention, reducing back-and-forth email exchanges considerably. This efficiency has resulted in valuable time savings for the team,” explains Andrew.

Now, by using Access Workspace, Arbuthnot Latham can access not only Access PeopleXD but other utilised Access products including Access Health and Safety, Access Learning, and Access Payroll Services (APS) via a single sign-on. All these solutions are consolidated within a secure and unified digital workspace to provide Arbuthnot Latham with a single source of truth based on consistent, up-to-date data.

Arbuthnot Latham & Co will be further investing in enhancing its Access PeopleXD solution through Access PeopleXD Analytics. PeopleXD Analytics offers comprehensive insight into intricate metrics, encompassing all aspects of HR data, including time and attendance, talent and recruitment, and financial budgeting.

There’s a dedicated support team for PeopleXD Analytics – which is responsive – and provides us with additional support beyond that provided by our Account Manager and Customer Success Manager. All of which is valuable in ensuring we achieve a return on our investment.

Looking to the future

“We like working with the team at Access, and their support has been important in the successful launch of our various Access products. Our Account Manager, Sam Rigby, embodies a client-centric approach, consistently aiding us in achieving our business goals,” says Andrew.

“Plus, there’s a lot of functionality within PeopleXD. It’s proven to be an excellent investment for us as it’s innovative, easy to use, and a fantastic tool that aligns with our digital roadmap, offering ample opportunities for innovation and progression,” continues Andrew.

As a scalable, end-to-end, cloud-based HR and payroll solution, Access PeopleXD acts as a pivotal tool that enables growth harmoniously with the business to ensure agility, efficiency, and optimal utilisation of resources in line with Arbuthnot Latham’s priorities.

As part of the Premier Customer Success Plan, Arbuthnot Latham has access to a designated Customer Success Manager, a named Technical Support Engineer for each product, FlexPoints, and much more. Within its Premier Customer Success Plan, Arbuthnot Latham has approximately 2500 inclusive FlexPoints per annum (for every year of its 3-year contract, totalling to around 7500).

FlexPoints are the currency that allows the consumption of Access Services on a prepaid basis, enabling Arbuthnot Latham to browse, search, and book value-added services against any product to meets its business’ objectives in the most cost-effective way.

With the successful launch and integration of Access PeopleXD in the business, the HR team is exploring the utilisation of FlexPoints to enhance the HR and Payroll solution further, aiming to maximise its contribution to the overall value of the business.

Examples of upcoming optimisation projects being explored within Access PeopleXD include:

  • Documents and templates – to streamline the process of generating letters for employees, such as contracts. Arbuthnot Latham & Co can create templates where necessary, allowing the system to automatically pre-populate relevant information, such as names, job titles, and salaries, eliminating the need for manual and timely input.
  • Social hub implementation – an extension to the People Management module, the social hub enhances the onboarding experience for new employees by facilitating relevant information to foster longstanding and engaging employee tenure within the business.
  • Access PeopleXD post-implementation module health check and process reviews – to check that Arbuthnot Latham is optimising and utilising specific modules to its full extent, and maximising the return on investment.

Overall, we're satisfied with the Access products that are in use, and are exploring additional ways to maximize the benefits of our investment in Access’ technology.
