Donorfy

Start strong with Donorfy onboarding

Every Donorfy implementation is a defined journey with a clear destination: a named consultant by your side, milestones you can see, and most charities live in less than 20 weeks.

It's onboarding designed to build momentum from day one, so your team starts confident and stays that way.

  • Seedling: Perfect for smaller charities needing expert support to hit the ground running.
  • FlightPath A: Perfect for small-medium sized charities looking for confidence in their set-up.
  • FlightPath B: Perfect for larger charities who want expert hands guiding every step of the move.

The team didn’t just help us move data from A to B; they made us think carefully about how we needed data organised to work for all departments, long-term.”

Your questions, answered

How long does Donorfy onboarding typically take?

That depends. As a g rule of thumb, 70% of charities on FlightPath A go live within 12 weeks, and teams who can move quickly have done it in as little as 8 weeks.

Larger migrations on FlightPath B typically take up to 16-20 weeks, though speedier integrations do happen!

The biggest factor is your team's capacity to complete data gathering and configuration tasks between sessions.

If you need to work to a tighter timescale, be sure to speak to your onboarding consultant about the possibilities.

What does the process look like, step by step?

Every option follows the same defined journey: a welcome call to agree roles and timelines, Donorfy Academy training from day one, configuration sessions to shape the system around your data, data review and cleaning followed by migration and validation, integrations and forms set up on your website, then financial reconciliation before go-live.

After go-live, your consultant stays with you until your FlightPath outcomes are achieved.

How is our data migrated from our old system?

You'll receive a migration template on your welcome call, and your onboarder reviews your data with you to make sure it's ready to move.

Any cleaning actions are agreed before migration, so problems are fixed at the source rather than imported.

On FlightPath B, a sample of your data is migrated and checked first. Your full dataset is then uploaded into Donorfy and validated against your configuration.

We're a small charity. Is there an option for us?

Yes: Seedling. It's an implementation package designed especially for smaller charities with up to 5,000 constituents, starting from £995.

Seedling is led by an expert Donorfy partner, a certified specialist who knows the system inside out and works with small charities every day.

You still get full data migration and Donorfy Academy access, just with a delivery approach sized for smaller teams and budgets.

How much of our team's time will it take?

FlightPath A typically needs around 32 hours of your team's effort across the whole implementation; FlightPath B needs around 50. These are, of course, averages, and actual time needed will vary per organisation.

The time you invest covers gathering your data, completing configuration tasks and joining your training and configuration sessions.

Can I implement Donorfy myself?

If you'd like to, of course! Donorfy is designed to be accessible and self-serve friendly.

From the moment you're set up, you get immediate access to the Donorfy Academy, where you'll find training videos and resources to work through at your own pace.

However, for most organisations, we'd always recommend taking advantage of a FlightPath. Having a dedicated onboarding consultant in your corner means you benefit from their experience of implementing Donorfy hundreds of times – they know the shortcuts, the common pitfalls, and how to get your data in cleanly from the start.

That guidance can make the difference between a smooth go-live and a frustrating one.

Think of it this way: you can do it alone, but you don't have to!

What if I have over 150,000 constituents?

No problem, just get in touch and we'll work out the right approach for you.

If your database is larger, a standard FlightPath may still be the right fit depending on your setup, or we may recommend a more tailored, project manager-led implementation instead.

Either way, you won't be left to figure it out alone. Just talk to us and we'll point you in the right direction.

I'm worried about migrating data. Is it really safe to switch?

It's the question almost every charity asks, and the answer is better than most people expect.

Your data doesn't disappear, it moves. Constituents, donation history, Gift Aid declarations and communication preferences all come across, and your old system stays untouched until you've checked everything looks right. Nothing goes live until you're satisfied.

The nerves are normal, but they're almost always bigger than the work. Whether you're moving from a spreadsheet or leaving another CRM, we've helped charities of all sizes make the switch, including those with hundreds of thousands of records.
