What Access Assets Solves

Stop Managing Assets in Spreadsheets

70% of mid-market finance teams maintain spreadsheets alongside their accounting system for assets. Access Assets replaces manual tracking with a single source of truth. One system for finance and operations, always current.

Automate Depreciation and GL Posting

Manual depreciation calculations are the biggest month-end time sink for finance teams. Access Assets automates depreciation runs with native GL auto-posting to Access Financials and Dimensions, so your ledger is always accurate.

Know Where Every Asset Is

With mobile-first auditing and barcode/QR scanning, your field teams can locate, verify, and update asset records from any site. No more guesswork about what you own, where it is, or what condition it's in.

Pass Audits with Confidence

Every change to an asset record is tracked with a complete audit trail. Generate compliance documentation with a single click, covering additions, disposals, revaluations, and transfers across the full asset lifecycle.

Run Audits From the Field

47% of operations teams still fill out paper forms and enter data later. Access Assets mobile app lets field teams complete asset audits, log conditions, and update records on site — so your register reflects reality, not last month's desk entry.

Keep Finance and Operations on the Same Page

When maintenance updates an asset in the field, finance sees it immediately. When finance processes a disposal, operations knows the asset is gone. Access Assets connects both teams on a single record, eliminating the back-and-forth that delays month-end and creates errors on both sides.

How Access Assets Improves Fixed Asset Management

Getting Started with Access Assets

Step 1: Import Your Assets
Bring your existing asset data into Access Assets with the built-in import tool. Asset records transfer from spreadsheets or your current system with automated numbering and classification - so you go live with a clean register from day one.

Step 2: Configure Your Workflows
Set depreciation methods, compliance rules, and dashboard views to match your processes. Access Assets adapts to how your team works, not the other way around.

Step 3: Go Live
With native integration to Access Financials and Dimensions 3.0, your team can start managing assets immediately. No mandatory setup fees. Unlimited users on every tier - so finance, operations, and field teams can all adopt it from day one without per-seat costs.

Transparent, Asset-Based Pricing

Access Assets uses asset-based pricing: you pay based on how many assets you manage, not how many people use the system. Unlimited users are included on every tier, so your whole team can adopt it without per-seat costs.

Ready to Take Control of Your Fixed Assets?

See how Access Assets could save your team hours every month and give you confidence at audit time.

Built for UK Mid-Market Finance and Operations Teams

Access Assets is designed for organisations managing significant fixed assets, from equipment and vehicles to property and IT infrastructure. One platform connects finance teams who need accurate depreciation, audit trails, and GL reconciliation with operations teams tracking physical assets in the field - so neither team is working from a separate system or a spreadsheet.

Who uses it:

  • CFOs and Finance Directors responsible for accurate asset valuations, compliance, and financial reporting
  • Finance Managers and Controllers handling depreciation, disposals, and GL reconciliation at month-end
  • Operations and Asset Managers tracking physical assets, maintenance schedules, and field teams across multiple sites
  • Maintenance Technicians completing work orders, logging faults, and updating asset records on site

Particularly effective for manufacturing, education, health and social care, construction, facilities management, and any organisation managing distributed physical assets across multiple locations.

Fixed asset accounting FAQs

What is fixed asset management software?

Fixed asset management software helps organisations track, value, and report on their physical assets throughout their lifecycle — from acquisition through to disposal. It automates depreciation calculations, maintains an accurate asset register, and produces the documentation finance teams need for audit and statutory reporting under UK accounting standards.

Without it, most mid-market organisations end up managing assets across spreadsheets and accounting systems simultaneously. That creates errors, delays month-end close, and leaves finance teams unable to fully trust their own register. Only 19% of finance managers report being completely confident in their asset data — the rest are working with known gaps and Excel backups as insurance.

Access Assets is purpose-built for UK mid-market organisations that have outgrown spreadsheets but don't need the complexity or cost of an enterprise ERP solution.

How does Access Assets integrate with Access Financials?

Access Assets integrates natively with both Access Financials and Access Dimensions 3.0. Depreciation journals post directly to your general ledger automatically — no manual data entry, no middleware, and no reconciliation between separate systems. Asset records created or updated in Access Assets are immediately reflected in your financial data, so your register and your ledger stay in step without anyone having to manually keep them aligned.

Not on Access Financials or Dimensions 3.0? Access Assets works as a standalone product and provides structured exports for import into your existing accounting system. Further integrations are on the roadmap. Contact us for more information.

What types of assets can I manage with Access Asset?

Access Assets is designed for any tangible fixed asset — equipment, machinery, vehicles, IT hardware, furniture, property, and infrastructure. If it appears on your balance sheet or requires physical tracking, maintenance, or compliance management, it belongs in Access Assets.

For each asset you can record purchase information, location, serial numbers, insurance policies, maintenance history, and depreciation categories. Assets can be organised by site, category, department, or assigned user — making it straightforward to run location-based audits, track assets across multiple sites, or identify everything assigned to a specific team or individual.

Do I need to be an existing Access customer to use Access Assets?

No. Access Assets works as a standalone product and is available to any UK mid-market organisation, regardless of which accounting system you currently use. You can import your existing asset data from a spreadsheet and get started without changing any other software.

For existing Access Financials and Dimensions 3.0 customers, native integration means depreciation journals post directly to your general ledger with no manual data entry or middleware.

How is Access Assets different from the existing Fixed Assets module in Access Dimensions?

The Fixed Assets module in Access Dimensions handles depreciation calculations and basic register management within your accounting system. Access Assets is a purpose-built, standalone platform that goes significantly further.

Where the existing module stops at financial depreciation, Access Assets adds mobile- first auditing and barcode scanning for field teams, work item management, compliance management, an exception-based dashboard, and full operational asset tracking — connecting the finance team managing the register with the operations team responsible for the physical assets.

For existing Access Dimensions customers, the two products work together natively. Access Assets posts depreciation journals directly to your general ledger, so you get the operational depth of a dedicated asset management platform without losing the financial integration you already rely on.

How long does implementation take?

Access Assets is designed for rapid deployment. With built-in import tools and native Access Financials and Dimensions integration 3.0, most organisations can be up and running significantly faster than the 6 to 18 months typically required for enterprise ERP implementations. There are no mandatory setup fees. For straightforward implementations, your finance team can manage the process without external consultants. For more complex requirements, optional implementation support is available.

How is Access Assets priced and are there any hidden costs?

Access Assets uses asset-based pricing — you pay based on the number of assets you manage, not the number of people using the system. Unlimited users are included on every tier, so your whole team can adopt it without per-seat costs adding up as your team grows.

There are no hidden costs. Mobile app access, barcode and QR scanning, audits, and work items are all included in the relevant tier. There are no mandatory setup fees — optional implementation support is available for organisations that want it, but straightforward implementations can be managed by your finance team directly. Pricing starts from £2,800 per year for up to 1,000 assets.

Can I try Access Assets before committing?

You can book a personalised demo with our team, who will walk you through the product using scenarios relevant to your organisation. An ROI calculator is also available on this page to give you an indication of the time and cost savings Access Assets could deliver before you speak to anyone.

How secure is our asset data?

Access Assets is hosted on secure UK-based infrastructure and built to the same security and data governance standards as the broader Access Group product suite. Access controls mean users only see what they need to — field teams access asset records relevant to their work, while financial data is restricted to authorised finance users. If your organisation has specific data security or compliance requirements, our team can provide full details ahead of any commitment.

What happens when we grow beyond our current asset tier?

Moving between tiers is straightforward. If your asset count grows beyond your current tier limit, you simply upgrade to the next tier — your data, configuration, and workflows all carry across without any migration or disruption. There is no penalty for upgrading and no ceiling on the number of users at any tier. Asset-based pricing means your costs grow in line with what you actually manage, not with how many people join your team.

Do you support multiple sites or entities?

Yes. Access Assets is designed for organisations managing assets across multiple locations. Assets can be organised and filtered by site, so you can run location-based audits, view what is on each site, and give field teams visibility of the assets relevant to their location without exposing the full register.
