How long does an Access Education Finance implementation take?

It depends on the size and complexity of your organisation. For a single school, 70% of customers go live within 9 weeks, and some in as little as 8. For a single academy trust or a larger multi-academy trust, 70% go live within 14 weeks, with the quickest at around 12. Your onboarder agrees a realistic timeline with you at the start. 

How much of my team's time will it take?

A single school typically needs around 20 hours of your team's time to reach go-live. A single academy trust needs around 35 hours, and a larger or more complex multi-academy trust around 40. We're upfront about this from day one so you can plan around it. 

What does the implementation process actually look like?

There are six stages: welcome and set-up, configuration, data migration, training, check and confirm, then go-live and sign-off. Each stage has a clear outcome and a named onboarder guiding you through it. 

How is our data migrated from our old system?

We import your Chart of Accounts and map it to your management and budget-monitoring reports. We check the data feeds through to your reporting correctly before you go live, so your reporting is reliable from the start. 

How do you make sure everything works before we go live?

Your onboarder runs check-in sessions throughout to confirm your set-up and training are on track and each outcome is being met, and checks everything is right before you commit to go-live. 

How will our team be trained?

Through guided training sessions covering every area of the system your team will use, plus a checklist and guided walkthroughs inside the software, so people learn by using it with your own data rather than watching a demo. 

What support do we get after go-live?

You're handed over to our support team, we check your outcomes have been met, and your onboarder supports you through your first 30 days. You also have the community support portal and our education finance specialists on hand. 

Can you add new schools to our trust later?

Yes. When a trust adds a site, we pre-configure it with your Chart of Accounts, customer and supplier information, so new schools are ready to go.
