Access Evo for school staff
1
The Teacher
It's early morning, and a teacher's phone buzzes.
1/14
Payslip
2
Their payslip's in
They open it right there – no logging into a separate portal, no waiting till they're at a desk.
2/14
Profile
3
Update personal details
Whilst they're in the app, they remember they've just moved house so they open their details and update their new address themselves. No form or email to HR. No waiting on someone else to make the change. A couple of minutes and it's sorted, before they've even left for school.
3/14
School store cupboard
4
Purchase requisition
Fast forward to mid-morning, and the same teacher's in the store cupboard, and they can see supplies are running low. They go to the same app they were just in an hour ago, not some separate finance tool they've never opened before.
4/14
Purchase requisition
5
Take a photo of the order
They'd jotted a quick note while they were in there to upload to the app. It gets read and coded automatically, turned into a proper requisition without them typing a thing or remembering the right code.
5/14
Purchase requisition
6
An automated requisition is created
They check it over, make sure it looks right, and submit. From there, it goes straight to the right approver. What would historically have been handed to the finance team on a piece of paper is actioned there and then, on the way back to class, eliminating any delay or hold-up to orders. And it's there for any member of staff, not just the people who work in finance.

7
Designated Safeguarding Lead
Meanwhile, elsewhere in the building, someone else is starting a very different kind of task. This is the Designated Safeguarding Lead – the person who keeps the Single Central Record accurate and compliant. That usually means going line by line, checking every document, every date, by hand.
7/14
SCR compliance
8
Ask Researcher
Instead, they ask Researcher to review the record, flag anything that's missing or at risk of falling out of compliance, and put together a task list of what needs fixing.
8/14
9
SCR compliance tasks
What comes back isn't generic guidance, it's pulled from the school's actual record, with a clear list of exactly what to work through.
9/14
10
Add collaborators
And because this isn't a job for one person to carry alone, they can bring others in – a compliance lead, an HR admin, a headteacher – to the same project, looking at the same data.
10/14

11
The Finance Director
While that's happening, the trust's Finance Director is dealing with a new government announcement about a pay award for teachers – 3.5%, from the first of September. But they're only funding 1.7% percent of it. The rest, 1.8% has to come from the trust's own budget.
11/14
Teacher Pay Award
12
Ask Researcher for budget impact
So the Finance Director lays it out for Evo Researcher, explaining the pay award, what's funded and what isn't, and asks what it means for their budget, and what they could actually do about it, based on their own numbers.
12/14
13
References trust's real data
What comes back is built entirely from the trust's own numbers, current spend on teaching staff, exactly what this award will cost, and a handful of ways to help close the gap, grounded in the trust's real budget.
13/14
14
Keep chatting
And it's not a finished answer – it's a starting point. From here they can keep working the chat, push on one option further, adjust the assumptions, and get to something they'd actually take into a leadership meeting. Behind it all: a government article, uploaded as context. Live connections into Access Education Finance and Access Education People, so the numbers are real. And a project that can be opened up to colleagues, so none of this sits with one person alone.

You've explored all the features

The admin is handled. The decisions are yours.

Access Education is moving from software that holds your data to a platform that acts on it. It works alongside your team, taking on the repetitive admin and surfacing what needs a decision, but a person always makes the final call.

The core education platform

Your single source of truth. Your Access Education products hold your financial records, budgets, people data, payroll and more, depending on the products you have, in one connected system.

Access Evo

Our connected platform is the foundation that underpins your Access Education products, Access Evo surfaces what needs attention, answers questions from your own data, and takes on the routine work in the background, so your team doesn't have to go looking for it.

The decisions are yours

Instead of moving between five systems to find what needs you, your team starts from one personalised view, with the right information and the next action ready to take. Time goes on the judgement calls that need a person, not hunting for the data behind them.

HOW ACCESS EVO CHANGES YOUR SCHOOL DAY

Access Evo in action: real moments made simpler

Four capabilities. Each with standalone value.

Together, they change the working day of everyone across your school or trust.

Access Evo Navigator

Your day, in one place. The moment you log in, the things that need you are already there, an action to approve, a task flagged, drawn from across your Access Education products and shown in one view built around your role and permissions. Your day doesn't need navigating to. It comes to you.

Access Evo Researcher

Ask a question in everyday language and get an answer you can use, drawn from your own records, your finances, your documents, within your existing permissions. The questions you never had time to ask, the ones buried three systems deep, now take a sentence to answer. Like the most well-informed colleague you have ever had. The judgement, and the decisions, stay yours.

Ask Researcher: "Model the recent 3% teacher pay award against our actual numbers"

Access Evo Workflow

Most schools and trusts run on information scattered across HR, finance and operational systems, and someone always ends up moving it by hand, a drain on time, and a risk every time it's copied instead of connected. Access Evo Workflow joins them up.

Connect your systems visually, set how often information moves, and it arrives where it needs to be on its own. An absence logged once updates payroll, cover and the manager's view together. No coding, no developer, no more copying between screens.

Access Evo Assistants

Behind every school office and finance team is a pile of repetitive work that has to get done the same way, every time. Access Evo Assistants take it on, from chasing a DBS certificate to coding a requisition or building a report, coming to a person only when a real decision needs making. It doesn't change what gets done. It changes who does it.

Safe, secure, and built for compliance.

Schools and trusts manage some of the most sensitive data there is, financial records, payroll, staff and pupil information. Access Evo is built on a three-tier security model, so you get the benefit of AI with the controls your school already relies on, and your obligations around data protection and safeguarding are met, never stretched.

Your data stays yours

Your data stays inside a private, secure environment. It is never used to train public AI models, and nothing leaves the Access environment your school already trusts.

Access follows your permissions

Access Evo works within your existing permissions. Staff only ever see the data they are already authorised to access, across finance, HR, payroll and pupil information.

Private to each person

Each person's use stays confidential. What someone asks, and the systems they reach, is private to them, so the platform can be used with confidence across the whole school.

Frequently asked questions about Access Evo

Straightforward answers to how Access Evo works with the Access Education products your school or trust already uses.

What is Access Evo and what are its key benefits?

Access Evo is the connected platform that underpins Access Education software. It brings your data and most used, most important tools into one place, whichever Access Education products you use. Giving schools and trusts faster answers from their own live data, routine admin handled before anyone has to chase it, and gaps flagged before they become problems. It also lets us bring new capabilities to you, and get them into your hands, faster.

What makes Access Evo different from other software systems?

Access Evo gives everyone in your school or trust a common experience across your products, while still tailoring itself to each person, so a finance lead and a class teacher each get what's useful to them. It's built for education: it understands school finance, payroll, HR and safeguarding, not generic business processes. And it works inside the screens your teams already use, rather than sitting off to the side as a separate chatbot.

Does Access Evo work with all Access Education products?

Access Evo works at the platform level and connects into your Access Education products, with deeper integration available as an upgrade. The more of your school or trust that runs on Access Education, the more Access Evo can connect and act across it. Speak to your account team about which capabilities are included and which are upgrades for your setup.

Does Access Evo cost more, and how do you justify the additional cost?

We're investing on behalf of our customers to bring new value, and some features will carry an additional cost, kept to a minimum through the scale of that investment. For most schools and trusts, the time recovered on admin, the problems prevented before they become expensive, and the faster decisions far outweigh the increase. Your account team can walk through what this looks like for your setup.

How does Access safeguard our data within Access Evo?

Data security comes first, whatever the technology. Access Evo is offered at three security levels. Our use of AI stays within a private, secure environment, and no school or trust data is used in public AI systems. It is role-specific, reaching only the data your existing permissions already allow. And each person's use stays personally confidential. Your financial records, payroll and pupil data stay protected inside the Access Education environment.

Will Access Evo keep my information confidential, and what happens to what I upload?

Use is confidential at an individual level, no one can see what a user has asked or which systems they have reached. Anything you upload stays within the secure Access Education environment and never leaves our infrastructure. Unlike open tools such as ChatGPT, where what you type can be used to train public models and become visible to others, your prompts and information stay confidential to your school or trust.

Does Access Evo replace our existing systems?

No. Access Evo sits across the Access Education products you already use. Your existing software continues to work exactly as it does today. What changes is that your people interact with one place, everything comes to them, rather than them going looking for it.

Will it replace our people?

No. Access Evo takes on the work that follows a pattern, the compilation, the assembly, the repetitive admin. The judgement, the relationships and the decisions stay with your people. What changes is that your finance, HR and business teams spend their time on the work that actually needs them, and a person always makes the final call.

How is Access Evo different from Copilot or ChatGPT?

A generic assistant knows about work in general. Access Evo knows your work, your financial records, your HR data, your processes. It connects to what your school or trust already runs on and works within the security and permissions you already have in place, and nothing leaves your environment to train an external model.

How does Access make sure its AI is developed and used responsibly?

Access holds ISO 42001 accreditation, the world's first international standard for AI management systems. It means our AI follows a globally recognised framework for ethical governance, risk management and continuous improvement, so schools and trusts can be confident it is safe, transparent and accountable, and that we can evidence it.

How long does it take to get started?

There isn't one fixed timeline for every school or trust. Your account team can confirm the rollout based on the products, permissions and capabilities in scope, and fit it around term-time priorities.

Are we allowed to use AI in school?

The DfE doesn't run an approval scheme for AI products. Schools and trusts are free to choose the tools that fit their setting, as long as they meet existing obligations like data protection and safeguarding. The DfE specifically points to staff-facing, administrative use as lower-risk.

Isn't AI in school systems a safeguarding risk?

Safeguarding risk needs managing, and the DfE is clear the highest risk sits in pupil-facing, unsupervised AI use. Nothing here puts AI in front of pupils. This is finance, HR and operational teams working faster on their own data, with a person still making every decision.

Can we trust it for finance, HR and compliance work, doesn't AI make things up?

Human review isn't optional, and that's exactly how Access Evo is built. It drafts, prepares and flags, it doesn't sign anything off. The professional stays responsible for the final version, every time, so the accuracy check sits where it always has, with a person who knows the work.

Who is accountable if an AI-assisted report or decision turns out to be wrong?

The same person who would be accountable if they had produced it by hand. Access Evo doesn't change the sign-off chain, the professional who produces the final document, and their organisation, remain responsible for it, whatever tool helped get there.
