Access Evo FAQs
What is Access Evo?
Access Evo is our AI-augmented platform, purpose-built for education. It brings together your Access Education products, data and workflows in one connected environment, helping work get done rather than simply recording it.
It is designed to surface information, tasks, decisions and approvals when you need them, rather than requiring you to go looking for them.
Is Access Evo just an AI chatbot?
No. Access Evo is a connected platform that combines your Access Education data, products and workflows with powerful AI capabilities.
It can help with everything from finding information and answering questions to analysing data, creating reports, automating tasks and supporting decision-making.
What is Access Evo Researcher?
Access Evo Researcher helps you work with your school or trust’s data using AI.
You can ask questions, investigate issues, bring information together and build reports or summaries. It can support areas such as budget analysis, staffing, absence and governance, helping you get more value from the information you already have.
What can Access Evo actually do?
Access Evo can support a wide range of day-to-day and strategic tasks, including budget and spend analysis, financial reporting, workforce and staffing analysis, purchase requisitions and approvals, absence information, safeguarding and compliance checks, governor and trustee reporting, identifying trends and supporting workflows.
The aim is to reduce repetitive administration and give you more time to focus on the work that requires your expertise.
Can Access Evo work across our whole trust?
Yes. Access Evo is designed to connect information across schools and trusts, giving you a more joined-up view of what is happening across your organisation.
For example, trust leaders can bring together information from multiple schools rather than relying on separate reports from each one.
Do I need multiple Access products to benefit from Access Evo?
No. You can benefit from Access Evo even if you only use one Access Education product.
Access Evo can work with the data you already have within that product, while also allowing you to connect additional Access products or third-party data where available.
Can Access Evo work with data from outside Access?
Yes. Access Evo can connect to third-party services and can also work with uploaded information, including CSV files.
Where a direct connection is available, the process can be more automated because Access Evo can access the relevant data without you having to download and upload it each time.
Can Access Evo work with our MIS?
Access Evo can work alongside your existing MIS and other third-party systems. Access offers integrations between Access Education products and MIS systems, and Access Evo can also work with uploaded data where a direct integration is not available.
The specific integrations available will depend on the systems you use.
Can Access Evo create customised reports and management information?
Yes. Access Evo can bring together information from one or multiple data sources and help you create reports, visuals and management information.
For example, you could use it to create governor reports, management accounts or consolidated reporting across a trust, helping you move from simply presenting data to understanding what it means.
Can Access Evo help with cash flow reporting and forecasting?
Yes. Access Evo Researcher can help bring together relevant financial information, explore trends and support cash flow reporting and forecasting.
This can help you understand your financial position and generate insights to support decision-making.
Can Access Evo automate workflows and recurring tasks?
Yes. Access Evo can support workflows that run in real time and can help automate recurring tasks and processes.
For example, you could set up regular deadlines or reporting processes and have these managed through your Access Evo dashboard.
Can Access Evo help with purchase requisitions?
Yes. Access Evo can support the purchase requisition process by interpreting information provided by the user and proposing the most appropriate ledger code.
The user can review the suggested coding and make any amendments before the requisition is submitted.
Can Access Evo help with safeguarding and compliance?
Yes. Access Evo can help review information such as a Single Central Record, identify missing information or potential compliance issues and create tasks around what needs to be addressed.
This can help teams identify areas requiring attention and take action more efficiently.
Can Access Evo support a Single Central Record?
Yes. The new Single Central Record sits outside the People system and can provide a complete picture of employees and non-employees.
The SCR is also being made available to early adopters.
Can Access Evo make decisions or spend money without me?
No. The human remains in control.
Access Evo can identify an issue, make a recommendation, prepare information or prompt you to take action, but the relevant expert remains responsible for the final decision and approval.
What happens if Access Evo gets something wrong?
Access Evo is designed to support people rather than replace their judgement.
Its outputs should be treated as a starting point that can be reviewed, questioned and refined before action is taken. The relevant expert remains responsible for the final decision.
Can users control what data they can see?
Yes. Access Evo respects the roles and permissions configured within your core Access products.
This means access to information can be restricted according to a user's role and responsibilities. For example, HR users can be limited to the information they are authorised to access, while School Business Managers can be restricted to information relating to their own school.
Is my data safe in Access Evo?
Yes. Security is at the heart of everything we build at Access.
Access Evo is designed so you can work with your school or trust’s data within the platform, without needing to download it and move it into separate AI tools. Keeping your data within Access Evo helps ensure it remains within a secure environment while you use the platform and its AI capabilities.
For UK customers, stored data remains within Access-managed UK Azure infrastructure.
What support will be available when implementing Access Evo?
We know that introducing new technology is a significant change, so we will provide guidance and resources to support you with setup and adoption.
There will also be options for a higher level of support where required, which can be discussed with your Customer Success Manager or Account Manager.
Will there be an additional cost for Access Evo?
Yes. The new Access Evo capabilities are part of an upgrade programme.
The cost will depend on the Access products you already have and which tools and capabilities you choose. You will be able to receive a personalised quote based on what is right for your school or trust.
When can we get Access Evo?
Customers will be brought onto Access Evo in waves. The Access team will contact you when it is your turn to move onto the platform and will talk you through the next steps.
If you are particularly interested in Access Evo, you can also speak to your Account Manager to discuss the options available to you.
