Customer Story: LET Education Trust
“It’s like having another member of staff”: why LET Education Trust is excited about Access Evo
What if the information you need was no longer something you had to go looking for? What if repetitive tasks could happen in the background? What if your data could tell you where to look next?
For Michelle Williams, Chief Finance and Operations Officer at LET Education Trust, these are no longer just interesting possibilities.
As one of the early adopters testing Access Evo, Michelle has been getting hands on with the technology and putting it through its paces using her own trust data.
And the more she tests, the more excited she is about what it could mean for the way education trusts work.
From finding information to finding insight
For a CFOO, information is everything. But getting to it can take time.
Finding the right report. Locating a piece of information. Asking a colleague. Pulling data from different places. Downloading spreadsheets. Working out what the numbers are telling you.
Michelle can already see how Access Evo could change that.
One of the things that has impressed her most is being able to ask Access Evo questions about the trust’s own data and get an answer back quickly.
But it goes further than simply answering a question.
As Michelle has been testing Access Evo, she has found that it can produce reports, suggest other areas to explore and help identify potential risks.
“It will give you a report. It will tell you other things that you could potentially look at or review or, you know, sort of identify where your risks are.”
That changes the conversation around AI.
This isn't about asking a generic chatbot a question and hoping for a useful answer. Michelle is exploring what happens when AI can work with the data that actually matters to her trust, in one central place.
And she is still discovering what it can do.
“I’m still playing with it,” she says. “Every day I’m like going, ‘Oh, can you do this? Can you tell me this?’”
Imagine having the time back
For Michelle, the potential impact goes well beyond making her own working day easier. It is about giving time back to the whole organisation. Instead of having to stop and search for information, or ask someone else to find it, she can ask Access Evo.
“I haven't got to go looking for that information. I haven't got to go to a member of staff.”
It sounds simple. But across a busy trust, those small moments add up.
Every search avoided. Every spreadsheet that doesn't need to be built from scratch. Every question answered without interrupting another member of the team. That is time that can go somewhere more valuable.
And Michelle sees the potential extending into schools too.
For operational teams, she can already see opportunities to reduce manual processes and duplication, particularly around recurring activity such as month end.
Instead of people spending hours working through repetitive tasks, Access Evo could handle more of that work in the background, leaving teams to check and quality assure the output and spend more time supporting their schools.
“We're giving back the time that the head teachers and our staff in schools need.”
The real opportunity: stop reacting, start getting ahead
For Michelle, this is where Access Evo becomes much more than a time saving tool. It could fundamentally change how education teams work.
Today, so much operational work is reactive. Something happens. Someone needs information. A problem appears. A report is requested. A team starts pulling the data together. Access Evo creates the possibility of doing things differently.
By bringing information and insight closer to the people who need it, teams can spend less time chasing what has already happened and more time understanding what it means, spotting risks and planning what happens next.
Michelle describes that shift in three words:
“Moving from reactive working to proactive management.”
That, she believes, could be one of the biggest opportunities for LET Education Trust.
It is about freeing people to focus on the work they are actually there to do: supporting the trust, planning for the future and helping head teachers make better informed decisions.
“It feels like you've got another member of staff”
Perhaps the best way to understand Michelle's reaction to Access Evo is the way she describes it.
“I would describe this as having a personal assistant who is there at your beck and call every day, every minute of every day.”
Ask it whether an invoice has been paid. Ask it to produce sickness statistics across the trust. Ask it to explore what those figures could mean for children and classes.
Michelle has been deliberately testing the boundaries of what Access Evo can do, with members of the team even trying to “break” it. So far, they haven't found many limits.
And crucially, Michelle doesn't see this as a replacement for people.
She sees it as something that could enhance what people are able to do.
“We've not employed somebody else, but at my fingertips, I can ask this member of staff to do anything. They go away, they do it within minutes.”
That is the opportunity Access Evo presents.
Not fewer people. More time for the people you already have.
More time to think, to analyse, to support school and most importantly to make the decisions that matter.
And this is only the beginning
LET Education Trust is still in the early stages of exploring Access Evo. Michelle and her team are testing it, asking questions, trying different scenarios and discovering where it could have the greatest impact.
Her advice to CEOs, CFOs and head teachers is simple:
“I would really go and have a look at this.”
Because every trust is different. Every role is different. And the questions each leader needs to ask of their data will be different too.
Michelle believes that is one of Access Evo's biggest strengths. It isn't about forcing everyone to work in exactly the same way. It is about giving people the ability to get the information, insight and answers they need, in a way that works for them.
“Whatever your role, whatever the data or information or insight you require, this will do it for you and it's at your fingertips.”
For LET Education Trust, the journey with Access Evo is only just beginning. But already, Michelle can see something bigger on the horizon: a future where education teams spend less time managing the admin and more time using their expertise to move their schools and trusts forward.
