Access Workspace for Care – Improve operationally

Tom Etherington

Often in care the pressure can be relentless, operational staff or teams within care providers are stuck having to be reactive on a daily basis. Every day can be different, present unexpected challenges and require quick thinking. Having processes or systems in place to help ease this pressure can make a world of difference not only for the day to day business but also the care that is provided.

Access Workspace for Care provides your business with updated insights, that enable real-time decisions and actions across the whole care operation. It connects all Access products through a single sign-one, whether care management systems or other Access products such as Financials or HR if you have multiple solutions.

With over 100 Workspace apps they help target operational set-backs and give you an even richer and more informative picture of your business, no matter how small or large.

Relieve the pain points

There will be many occasions where you’ll be stopped in your tracks. Let’s investigate some examples of when this might be the case and when Access Workspace for Care can help.

You are stuck being reactive on a daily basis…

Access Workspace apps provide instant visibility of what needs addressing, with links directly to the information and systems needed to act on in real time. For example, if you are a user of Access People Planner you can drill down within their apps on Access Workspace for Care to allocate shifts, contact service users and re-route carers if needed. Plus, the Access Workspace for Care best practice toolkit can help operational staff quickly identify & tackle today’s challenges, and not feel like they are chasing.

It feels like problems always arise, and issues are dealt with after the event…

This happens as you might not have traditionally known what needs fixing until the problem has escalated. Access Workspace for Care provides a real time view of operations, the information that apps displays can be personalised to suit individual needs on your dashboard. Pull what information you need onto your Workspace and see potential issues and act before they arise.

You do not have the data to help planning and monitoring…

You might find currently that any improvements that are made, are made retrospectively using historical info, and require analysing data with things like Excel, which takes time and technical know-how. Access Workspace for Care apps surface real-time data from across their organisation, presenting insights in clear visuals. Simple graphs, easy to read tables and clear infographics help make analysing your data easier and helps you make better changes and decisions for your business.

Your processes are not time efficient; you jump between systems…

The single sign-on of Access Workspace for Care means you can see all information in one place. Apps display how you want them too, show information that is a priority for you and don’t require you to log in and out of different Access Group systems.

What about long-term operational improvement?

Relieve pressure from busy periods with heatmaps…

One example of when Access Workspace for Care can help long-term is with Heatmaps. In care there are certain times of the day that are particularly busy for care visits such as early mornings and lunchtimes. The Heatmaps Visits app, one of over 100 apps with Access Workspace for Care shows the busier times for your organisation, or the times where your teams will be under the most pressure. It shows where a change or delay will potentially impact more than one visit, service user and payment.

Using the Heatmaps Visits app alongside the Early, Late and Missed visits app over a certain time period gives you an instant visual comparison showing whether your earlies and lates happen mostly within your busiest periods. Extend the time period within the app to show the patterns and take actions on these patterns to ease pressures at these key times.

It could be that your Wednesday mornings are worst for lates, or every weekday between 2pm -3pm. There could be several ways you action this, maybe you’ll speak to carers on at that time, find out whether the travel time between visits is insufficient due to local traffic or roadworks or whether a visit to a particular service-user often over runs due to their specific needs.

If there are ongoing issues like this, then shifting one or two appointment times or adjusting your staff roster around to reduce travel for a particular employee could reduce their late appointments. Certain service users may have shifted to needing longer visits, or more frequent visits. Therefore, the Heatmap apps could show whether you need more resource, either through current staff or potentially through agency. Heatmap apps help you to take the right action based on previous visits and patterns and therefore help you deliver better quality care resulting in happier carers and service users.
