Making the Move to PeopleXD Evo: Your Next Step

We're updating your PeopleXD system to the Access Evo platform and we're here to support you every step of the way with free professional services until June 2026.

Important dates

Your current PeopleXD version enters maintenance mode from October 2026 - meaning no new features or enhancements. To take advantage of free support services, book your update slot by the end of June 2026, with completion by the end of September 2026.

Why this matters now: This update positions you for the strategic future of PeopleXD, where all new innovations will be delivered exclusively on the Evo platform. You’ll soon see this as we move the Back Office into the Evo platform side-by-side with your Portal experience, removing the frustration of managing two separate applications. You'll have one login and one unified system for all your HR administration, built on modern, secure technology.

We know you'll probably have lots of questions, so we've included FAQs to help. Are you introducing AI as part of this update?

No. 

This update integrates your People XD site with the Access Evo platform only. Our Copilot AI Assistant is not in scope for this update and will not be enabled by default. If you are interested in finding out more about our AI Assistant, we would love to discuss this further with you. Contact your AM or CSM to find out more. 

Is there any change to how my data is hosted?

Yes.

There are no changes to how the PeopleXD application itself is hosted. However, when you upgrade to PeopleXD Evo the additional capability we deliver does include new hosting configuration.

What is the difference between Access Workspace and Access Evo?

Access Evo is the latest version of Access Workspace. In March 2025 the platform was rebranded as Access Evo.

Will there be any impact to our existing integrations?

No. 

Any bespoke integrations you have for PeopleXD with another product will be unaffected by the Access Evo integration or the upgrade to PeopleXD Evo.

What does Maintenance Mode mean?

From 1st October 2026, we will continue provide full SLA support for your version of People XD outside of Access Evo for critical security patches, bug fixes and legislative compliance updates.

There will be no new features, enhancements or proactive improvements to versions outside of People XD Evo. New feature development will focus on the Evo-integrated platform going forward.

Access Evo provides People XD with a modern platform foundation that accelerates innovation by leveraging proven, enterprise-grade tools already available across the platform - enabling us to deliver new or enhance existing capabilities faster without the constraints of legacy architecture.

Are you going to switch this change on for us if we don’t book our free update project?

No. 

To ensure that you have the best experience with the rollout of the People XD Evo update, it is important that you schedule this to happen at the right time for your users. This update involves changes to how your user authentication is managed, and it is crucial that you own that configuration. If the update isn’t applied by the advised deadline, Maintenance Mode applies. 

What's involved in the project to complete the update to PeopleXD Evo?

The upgrade follows a structured FlightPath methodology with clear stages and support. The experience is consultant-led with dedicated sessions and training guides, ensuring you have support throughout the journey.

Project Stages

1. Welcome Call - Project kickoff to review scope, features, timeline, and training materials

2. Access Evo Enablement Session - Training on all Access Evo features and functionality

3. Authentication Support Call - Guidance on configuring Access Identity and updating PeopleXD security settings

4. System Upgrade - Technical migration of both UAT and Production environments to the Evo platform

5. Check-in Sessions - Ongoing consultant support to address queries during UAT

6. Handover - Transition to your Customer Success Manager and support teams

Resources Needed

You'll need involvement from:

  • IT Representative (average ~3 hours) - Domain verification and SSO configuration
  • PeopleXD System Security Admin (average ~6 hours) - Dashboard access review and verification
  • PeopleXD HR/People Admin (average ~6 hours) - Employee dashboard access and workflows
  • Marketing/Comms Representative (average ~3 hours) - Branding review and internal communications

Time Investment

Customer Effort: Average of 6 hours in scheduled enablement and check-in sessions, plus internal change management time as needed (this will vary depending on whether Evo is new to your organisation and the level of change management support required for your employees)

Average Duration: 70% of customers go live within 4 weeks

Optimal Duration: Customers with capacity to move quickly can complete in as little as 3 weeks
